INFORMATION ITEMS:

1.  RESIDENT OWNER AND NON-RESIDENT OWNER HANGTAG TOWING IS ONGOING.  Any vehicles using the 2025-2026 resident owner or non-resident owner hangtags (green background, white lettering, expiration date 4/30/2026) will be towed from the community.  I recommend you have your visitors park their vehicle off property until the next regularly scheduled parking pass distribution window.  Owners with questions may call or email the Parking Committee Chair for further information.

2.  GRADUATION EVENTS AT EAGLEBANK ARENA, MAY 12,2026 THROUGH JUNE 17, 2026.  Graduation season is here and we will see increased traffic impacts on our roads.  Please see our website or the May 2026 Park West Pages for the list of the 44 graduations planned.  Anticipate major traffic delays before and after each event so plan accordingly when you travel from/to our community.

3.  BOARD OF DIRECTORS MEETING; TUESDAY; MAY 19, 2026; 7:00 PM; VIRTUAL.  The monthly board meeting will be conducted via the RingCentral virtual meeting framework.  For the virtual meeting information, see the website under ‘Meetings’, select the year (2026), then the meeting (2026-05-19).  Document #01-1 contains the information to join the meeting.

4.  POOL SEASON, 2026; MAY 23, 2026; 11:00AM.  The pool opening day is just under two weeks away!  Pool application and entry will again be conducted through PoolEntry, a phone-based system.  Please review the Pool Rules for specific information along with additional information found on the website regarding the application and entry system.

5.  POOL APPLICATION AND ENTRY SYSTEM, 2026.  We plan to use PoolEntry as our phone-based application and entry system again this year.  There’s been some challenges with getting the system operational for this season.  We have a meeting scheduled for tomorrow that I hope will operationalize the system for you.  Here’s some parameters that I think will be used for the season.

– For our resident-owner families that participated last year, you should be able to verify your information from last season, update as needed, and submit without having to accomplish the remainder of the steps.

– For our renters and any resident-owners that did not complete the application in 2025, you will complete all the steps (required information, picture, and for our renters, the current lease information).

– Guest passes will operate as they did last year  They are digital and issued per home with the approved application.  Additional guest passes will be available for purchase through the application at a reduced cost of $2.00 per pass.  The system will charge you a fee for the transaction – by reducing the cost per pass we keep your actual cost a little under the $3.00 per pass we charged under our previous system.

– We will possibly trial a new way to conduct pool party reservations through a new capability in the system.  For now please utilize the existing form for any reservation – found at the last two pages of the Community Rules, Pool section.

6.  POOL OPERATING HOURS; 2026 SEASON HOURS.  Our hours are normal for this season.

Opening Day – End of Fairfax County Public School Year (June 17, 2026)
Monday, Tuesday, Wednesday, Friday: 1:00PM – 8:00PM
Thursday: 1:00PM – 9:00PM
Saturday: 11:00AM – 9:00PM
Sunday: 11:00AM – 8:00PM
Exception – for any Holiday, the pool will open at 10:00AM (i.e. Memorial Day; Monday, May 25, 2026 )

Regular Summer Hours (from June 18, 2026 to Labor Day, September 7, 2026)
Monday, Tuesday, Wednesday, Friday, Sunday: 11:00AM – 8:00PM
Thursday, Saturday: 11:00AM – 9:00PM
Exception – for any Holiday, the pool will open at 10:00AM

Weekend after Labor Day (September 12, 2026 and September 13, 2026)
Saturday:  11:00AM – 7:00PM
Sunday:  11:00AM – 6:00PM

7.  PARK WEST PAGES, MAY 2026 EDITION.  The May 2026 edition of Park West Pages has been released – please see the website for the document.  There will be some printed copies available at the pool or from the Hospitality Committee.

8.  SPRING 2026 TREE WORK.  Tree pruning and tree/shrub fertilization requirements are complete.  Tree removals are in-work.

9.  PWCA COMMUNITY CLEANUP DAY; SATURDAY; APRIL 18, 2026; REVIEW.  We had zero participation in the clean-up this year.  There are other ways to clean our naturalized areas – just at a cost to the Association and thereby to all Members of the Association.

10.  INDIVIDUAL GROUNDS CARE OFFER FROM J&J LANDSCAPE MANAGEMENT, APPLY AS SOON AS POSSIBLE.  Our grounds care contractor is again offering residences in our community the ability to have your private yards maintained.  The care options include turf care, lawn care, and leaf removal.  Please refer to the link listed above in the Seasonal Links section, just scroll down the page to the applicable information.

11.  SOCIAL COMMITTEE REQUEST FOR VOLUNTEERS.  Those residents who have had some history in our community will remember some of the social events we staged in the past.  These events have fallen on hard times due to a lack of volunteers to plan, prepare, stage, and conduct the events.  Contact the Social Committee if you’d be able to take on some of the responsibilities of these events.  July 4th is just around the corner – catering orders need to be in as soon as possible to ensure support for the event.

12.  GROUNDS CARE REMINDERS.  As a reminder, please keep the following items in mind during the growing season. #1 – keep your vehicle bumpers off the curb during mowing days as the crew cannot mow, edge or trim (as appropriate) when your vehicle is parked on top of the turf. #2 – For those of you who have landscaped up to the sidewalk – you are responsible to keep the sidewalk edge nearest your residence clean if the edger cannot be operated safely. #3 – Keep all items stored inside your fence / or your property for those without rear fences. See the ACC and ECC Rules for additional information.

13.  COMMUNITY SECURITY.  If out-of-the-ordinary events occur and you are concerned for your safety or security please notify the Police non-emergency number (703) 691-2131 to report the occurrence.  While we advertise a Neighborhood Watch on our signs there has been a lack of interest in the past to actually set one up.  If you are interested in participating please let me know.  If we have sufficient interest we will restart the process with the County but not before we see sufficient volunteers to make the effort worthwhile.  As always, please consider leaving your porch lights on throughout the night, remember to lock your vehicle doors, and notify the non-emergency number should you experience some kind of security event in the fure.

14.  OWNER ACCOUNT PORTAL.  This is a recurring topic for many of our owners.  Each owner has the ability to access their account through a portal Summit Management offers.  To access the portal, please go to our website and select the ‘Living in PWCA’ tab.  Scroll down the page to the button ‘Vantaca Owner Login’.  If you have not already done so, Vantaca will prompt you to create a login.  Once you login you’ll be able to access your owner information to include the status of your account.  This also provides an avenue to pay any balances due on the account. 

15.  OPEN DIRECTOR POSITION.  Request your consideration to place your name forward to fill our open Director position.  We are looking for people who are invested in making a better community for all who reside here.  If you are interested please complete and submit an Application for Candidacy that may be found on our website and is listed above in the links.  The Nominating Committee will reach out to you after you complete that step.  If you have questions I’m also available to speak with you about more specifics.

16.  WEBSITE AND MAIL INSTABILITY.  We experienced a multi-day outage on our mail system and our website framework.  This seems to have been remediated but for those who noticed and provided feedback I greatly appreciate it.  Thank you to our current and one of our previous webmasters for taking the time to troubleshoot, isolate, and remediate the challenge.  This is another of our many needs for volunteer support – another direct correlation that reduces the professional support expenses we incur to keep operations ongoing.

INFORMATION ITEMS:

1.  PWCA COMMUNITY CLEANUP DAY; SATURDAY; APRIL 18, 2026; 10:00AM; POOL PARKING LOT.  TOMORROW!!!!!!!  In support of Earth Day 2026 we will hold our Spring Cleanup Day to help our immediate community lessen the load of the loose trash and other items that get stuck in our naturalized areas.  Please come by and give an hour or two of your time.  We will supply the bags and trash grabbers.  Recommend wearing long trousers as the growing season has started in our naturalized areas.  I could also use some help working some technical and irrigation issues at the pool if you’d be interested in that effort.

2.  RESIDENT OWNER AND NON-RESIDENT OWNER PARKING PERMIT (HANGTAG) RENEWALS; SUNDAY, APRIL 19,2026; 1:00PM to 3:00PM; POOL PARKING LOT.  Our annual owner guest (“hangtag”) permit renewal will occur in April again this year.  The first pickup window occurred on April 11th – thank you to those owners who came to get their hangtags at that time.  The final distribution window will occur this Sunday, April 19, 2026  between 1 p.m. and 3 p.m. at the Pool Parking Lot.  The new permits are valid as soon as you receive them.  See the postcard that was mailed in mid-March 2026 and posted on the website after this date for additional information.  After May 1st all vehicles using the current resident-owner guest and non-resident-owner hangtag permits will be subject to towing from the community.  We will not have any additional distributions during April for hangtags and we are not supporting individual hangtag replacements.  If you do not pick up your hangtags on Sunday, I recommend you park your vehicle off property starting May 1st until the next regularly scheduled pass distribution window in May.  Owners with questions may call or email the Parking Committee Chair for further information. 

3.  BOARD OF DIRECTORS MEETING; TUESDAY; APRIL 21, 2026; 7:00 PM; VIRTUAL.  The monthly board meeting will be conducted via the RingCentral virtual meeting framework.  For the virtual meeting information, see the website under ‘Meetings’, select the year (2026), then the meeting (2026-04-21).  Document #01-1 contains the information to join the meeting.

4.  ACC SPRING 2026 HOME INSPECTION; SATURDAY; APRIL 25, 2026; 10:00AM; POOL PARKING LOT FOR INSPECTION VOLUNTEERS.  Our annual inspection will occur in just over one week.  The inspection will be conducted by teams.  Each team will be led by either a Director or a Summit representative.  All teams will have at least one person with previous experience accomplishing the inspection.  Please consider giving a few hours of your time to assist on an inspection team – no experience necessary.

5.  RESIDENT OWNER AND NON-RESIDENT OWNER HANGTAG TOWING COMMENCES; MAY 1, 2026.  Any vehicles using the 2025-2026 resident owner or non-resident owner hangtags will be towed from the community after this date. 

6.  POOL SEASON, 2026; OPENING DAY; MAY 23, 2026; 11:00AM.  The pool opening day is just over one month away!  This has been a BUSY pre-season with the white coat application expected on the pools in the next week.  For applications and entry, the same phone-based application and entry system from last season (PoolEntry) is intended (pursuant to Board approval Tuesday) to be utilized again this year.  Further information to follow from the Pool Committee on training and operations – feel free to contact with questions..

10.  PLAYGROUND SAFETY SURFACE RENEWAL.  We completed our safety surface renewal at the playground yesterday.  This is a annual maintenance action that brings the surface back to the specified depths for our equipment.  It also provides a note of color to the surface as an added benefit.

INFORMATION ITEMS:

1.  TRASH SERVICE DELAY.  Patriot ran out of time to collect our trash yesterday.  They will be by today to collect both the trash and the recycling today, Wednesday, January 7, 2026.

2.  HOLIDAY CHRISTMAS TREE PICKUP SCHEDULE.  Christmas tree collection will occur over the next two weeks.

3.  BOARD OF DIRECTORS MEETING; TUESDAY; JANUARY 20, 2026; 7:00 PM; VIRTUAL.  The monthly board meeting will be conducted via the RingCentral virtual meeting framework.  For the virtual meeting information, see the website under ‘Meetings’, select the year (2025), then the meeting (2025-12-16).  Document #01-1 contains the information to join the meeting.

4.  YARD DEBRIS COLLECTION, RESUMES MARCH 11, 2026.  Yard Debris collection will resume on March 11, 2026.

5.  TRASH AND RECYCLING CONTAINER INFORMATION.  We are finalizing the containers list for Patriot currently.  Please get your request in as soon as possible.  Items for review.  #1 – we request all homes to mark their containers when received.  #2 – if containers are not removed in a timely manner, we issue violations to the home.  If containers are not removed in a timely manner and there are no address markings on them, they will be removed to the pool house for removal by our contractor.  Containers are usually at the pool house for a few weeks after removal so if you are missing a container I recommend checking the pool house for it.  #3 – With the start of a new contract term on 1 January 2026; Patriot is offering to deliver trash and/or recycling containers free of charge to you at the inauguration of this contract.  For further information and if you are interested in obtaining containers please contact the ECC, ECC@ParkWestCommunity.org, to add your name to the list.

6.  BAMBOO REMEDIATION THROUGHOUT OUR COMMUNITY.  Bamboo is an invasive species we do not allow on common ground.  We highly recommend owners not to plant bamboo but to consider various native species as an alternative to invasives and other non-native species.  Please see this link on the county website for further information.  https://www.fairfaxcounty.gov/topics/running-bamboo.  This link also covers the potential costs to an owner who allows bamboo to outgrow their land.  I bring this up as we have to conduct bamboo remediation efforts almost every year to contain and remediate the bamboo one of our well-intentioned residents has planted on our common ground.  That help is not needed or desired and just adds cost to managing this property.  Please help us and help yourself by coordinating with the ECC for any desire to plant items on common ground and please refrain from planting running bamboo.

7.  2026 ANNUAL ASSESSMENT NOTICE AND ASSESSMENT TIMELINE.  If you have some kind of manual payment occurring to pay your assessments – please remember to adjust your payment.  We have several accounts that have paid last year’s amount and therefore still have an account balance.  As presented at the Annual Meeting, the Annual Assessment for 2026 has increased to $500.00 per quarter due on the first day of each quarterly assessment period – the first quarter’s payment was due on January 1st. The 2026 Assessment Notice and the Quarterly Assessment Timeline have been mailed/emailed to you and may also be found on the website – links provided above in the Seasonal (Assessment Notice) and Permanent (Assessment Timeline) Links section

8.  2026 SOCIAL EVENTS.  All events conducted in previous years are cancelled in 2026 except the Annual Meeting unless volunteers step forward to prepare for and stage the events.  Please contact the Social Committee if you’d like to step forward to make one of the canceled events occur.

9.  PARK WEST PAGES, NOVEMBER 2025 EDITION.  The current edition of the Park West Pages is available – please see the website for the document.  The Hospitality Committee has hard copies of the edition if you’d like a printed copy.

INFORMATION ITEMS:

1.  HOLIDAY TEMPORARY PARKING REQUESTS – PROVIDE AS SOON AS POSSIBLE.  If you have not requested parking passes for any events you are hosting through the New Year, please do so as soon as possible as our requested deadline is today (15 December).  We would like to provide our volunteers who create those passes for you the time to spend with their families and several of them are departing the local area during the holiday weeks so you will not have them as assets. Please see the website for a current list of parking officials – link provided in the permanent links above. Submit as soon as possible as your request will take longer to generate the passes due to volunteer support limitations.

5.  2025 ANNUAL MEETING OF THE MEMBERS OF THE ASSOCIATION, SYNOPSIS.  The Annual Meeting was held on November 18th at St. Mary of Sorrows Church (the Parish Center) in a parallel in-person/virtual format.  My thanks to those who physically attended the meeting.  Joe Underwood, Marguerite Wiese, and I were elected for another three-year term of office.  There remains one open Director position.  Art Gile was appointed as the 2025-2026 Nominating Committee Chair.  See the website for the meeting slide deck and other supporting documentation.  The draft Annual Meeting minutes will be posted to the website after being provisionally approved by the Directors at the December Board of Directors meeting.

6.  2026 ANNUAL ASSESSMENT NOTICE AND ASSESSMENT TIMELINE.  As presented at the Annual Meeting, the Annual Assessment for 2026 will increase to $500.00 per quarter due on the first day of each quarterly assessment period. The 2026 Assessment Notice and the Quarterly Assessment Timeline have been mailed/emailed to you and may also be found on the website – link provided above in the Links section.

7.  OCTOBER 2025 COMMUNITY RULES.  The Board approved updated Community Rules at the October 2025 BoD meeting.  The updated Rules may be found on the website under the ‘Rules and Regulations’ sub-page.  New residents to our community receive a copy when they are getting their initial set of parking permits.  If you would like to have a hard copy of the Rules and are not a new resident, please email Parking@ParkWestCommunity.org to coordinate a time to receive a copy.

8.  COLD WEATHER PREPARATION.  Please review the November newsletter for an article on this important subject.  Each year there are challenges faced by homeowners – consider taking the identified steps to take to be prepared for winter and limit potential damage to your home. The PWCA snow policy is posted on the website and is linked above in the Seasonal Links section; please read and understand it before any snow emergency might be declared for the Community.  If/when snow or ice storms occur all residents are requested to shovel and de-ice the sidewalks in front of your home. Help your neighbors and your community by assisting others if needed, clearing around fire hydrants, and clearing the mail boxes.

9.  CONSTRUCTION DEBRIS.  Reminder, no construction debris is authorized for placement with regular trash pickup.  Please ensure you or your contractor remove all debris (e.g. yard, construction, or installation) associated with any project conducted at your residences.

10.  2026 SOCIAL EVENTS.  All events conducted in previous years are cancelled in 2026 except the Annual Meeting unless volunteers step forward to prepare for and stage the events.  Please contact the Social Committee if you’d like to step forward to make one of the canceled events occur.

11.  PARK WEST PAGES, NOVEMBER 2025 EDITION.  The latest edition of the Park West Pages has been released – please see the website for the document.  The Hospitality Committee has hard copies of the edition if you’d like a printed copy.

12.  COMMUNITY SECURITY.  If out-of-the-ordinary events occur and you are concerned for your safety or security please notify the Police non-emergency number (703) 691-2131 to report the occurrence.  While we advertise a Neighborhood Watch on our signs there has been a lack of interest in the past to actually set one up.  If you are interested in participating please let me know.  If we have sufficient interest we will restart the process with the County but not before we see sufficient volunteers to make the effort worthwhile.  As always, please consider leaving your porch lights on throughout the night, remember to lock your vehicle doors, and notify the non-emergency number should you experience some kind of security event in the future. 

13.  OWNER ACCOUNT PORTAL.  This is a recurring topic for many of our owners.  Each owner has the ability to access their account through a portal Summit Management offers.  To access the portal, please go to our website and select the ‘Living in PWCA’ tab.  Scroll down the page to the button ‘Vantaca Owner Login’.  If you have not already done so, Vantaca will prompt you to create a login.  Once you login you’ll be able to access your owner information to include the status of your account.  This also provides an avenue to pay any balances due on the account.

14.  OPEN DIRECTOR POSITION.  Request your consideration to place your name forward to fill our open Director position.  We are looking for people who are invested in making a better community for all who reside here.  If you are interested please complete and submit an Application for Candidacy that may be found on our website and is listed above in the links.  The Nominating Committee will reach out to you after you complete that step.  If you have questions I’m also available to speak with you about more specifics.
