Good morning!  Several updates and an important item on a tree removal at the Carriagepark Court island tomorrow for your review today.

INFORMATION ITEMS:

1.  TREE REMOVAL; CARRIAGEPARK COURT; SATURDAY, OCTOBER 5, 2024.  We have a severely damaged Tulip Poplar on the Carriagepark Court island that cannot be saved.  Due to it’s size and impact on surrounding trees, the most efficient way t remove the tree is to use a crane for the majority of the work.  Due to the crane placement requirements all unassigned and assigned parking on and around the Carriagepark Court island are required to be vacated during the tree removal.  All assigned spaces (space 101 through 144) were marked and letters hand-delivered to each impacted residence on Tuesday. All curbs were marked and signed on Tuesday.

The pool parking lot will be available starting at 5PM (1700) this evening, Friday, October 4, 2024 for parking.  Any such vehicles need to be removed by 5PM (1700) Saturday, October 5, 2024.   

Here’s the schedule:

0700 – Window for towing opens per the letters and signs.  Tow truck will be onsite to begin relocation operations at 0700.
0730 – Tree company arrives onsite
0800 – Crane arrives onsite.

If we have sufficient volunteers on-hand we will attempt to knock on residence front doors who still have vehicles in the no parking zone.  Do not count on that occurring before vehicles are relocated.  Vehicles relocated may be found nearby on Carriagepark Road wherever free unassigned parking space is found.  Owners will be charged a relocation fee for each vehicle registered to the residence that are relocated.

2.  FINANCE COMMITTEE MEETING; TUESDAY; OCTOBER 7, 2024; 6:30PM; VIRTUAL.  The October 2024 Finance Committee Meeting will focus on a final review the Draft 2025 PWCA Budget presented to the Board and residents on August 20, 2024 and September 17, 2024.  Please consider attending as we discuss the future orientation of the Association in consonance with the Governing Documents as articulated through our Strategic Plan.  Please use the same information to enter the meeting as used for the regular Board of Directors Meeting.

3.  BOARD OF DIRECTORS MEETING; TUESDAY; OCTOBER 15, 2024; 7:00 PM; VIRTUAL.  The monthly board meeting will be conducted via the RingCentral virtual meeting framework. For the virtual meeting information, see the link listed above in the Permanent Links section.  Scroll down the the Meeting Materials and Minutes section, select the year (2024), then the meeting (2024-10-15). Document #01-1 contains the information to join the meeting.

4.  FALL FEST; SATURDAY, OCTOBER 26, 2024; 3:45 PM; POOL.  Come join us for our fall social event!  There will be a pet costume contest, a child costume contest, and best child and pet costume contests. Please arrive between 3:45 PM and 4:00 PM if you are competing in the costume contest. Judging will start at 4:00 PM and will be followed by a parade. At 5:00 PM – or possibly shortly – food trucks will open.  We anticipate two or three food trucks this year – more information.  

5.  2024 ANNUAL MEETING OF THE MEMBERS OF THE ASSOCIATION; TUESDAY, NOVEMBER 19, 2024; 8:00 PM; ST MARY OF SORROWS CHURCH (PARISH CENTER, ST JOSEPH’S HALL) AND VIRTUAL.  The Parish Center is located at 5222 Sideburn Road.  There will be signs to guide you to the room for the meeting.  All documents will be either electronically or physically mailed to Members of the Association by Friday, 18 October 2024.  Those documents will also be found on the website.  The meeting will be available virtually in the same manner as our monthly Board of Director meetings via the RingCentral virtual meeting framework. For the virtual meeting information, see the website under ‘Meetings’, select the year (2024), then the meeting (20241119), and finally select “Annual”. The document “2024 Annual Meeting, Virtual Meeting Information” contains the information to join the meeting.  If you are a renter residing in our community please feel free to attend – you’ll receive a report of what has been accomplished in the last year and where we are going over the next year.   There will be refreshments available for all attendees.

6.  STREET LIGHT STATUS.  My thanks to those who sent feedback in on the upper Carriagepark Road lights.  I was notified this morning that the lights have been restored to service.  All lighting should be operational in our community.  A service delivery point will be rebuilt on Monday on upper Carriagepark Road – no impact to street light operations is anticipated.

7.  FLAG STONE PATH CONSTRUCTION, THE ALLEY SHARED BETWEEN 4853 THROUGH 4869 CARRIAGEPARK ROAD AND 4705 THROUGH 4719 GAINSBOROUGH DRIVE.  The next area to get a paver path installation will again apply lessons learned from the previous two projects and apply them to another set of townhomes.  This project was elected based on number of townhomes impacted and opportunity for direct travel between the lending library and the playground.  The work will occur in the near-term.  If you have any cans or debris stored behind your rear fence – please move the items back inside your fence or discard the items. 

8.  RETAINING WALL REPLACEMENT AND FOOTPATH REPLACEMENT; ONGOING.  The concrete work is finished and temporary fencing installed at the retaining wall.  Until the permanent railing solution is in-place please exercise additional care if you walk down the footpath at and near the new retaining wall.  Railing fabrication is ongoing – we do not have an installation timeframe.

9.  FALL 2024 TREE WORK.  This Saturday’s work starts our fall tree work cycle and will be ongoing for the next six weeks.

10.  COMMUNITY SECURITY.  If out-of-the-ordinary events occur and you are concerned for your safety or security please notify the Police non-emergency number (703) 691-2131 to report the occurrence.  While we advertise a Neighborhood Watch on our signs there has been a lack of interest in the past to actually set one up.  If you are interested in participating please let me know.  If we have sufficient interest we will restart the process with the County but not before we see sufficient volunteers to make the effort worthwhile.  As always, please consider leaving your porch lights on throughout the night, remember to lock your vehicle doors, and notify the non-emergency number should you experience some kind of security event in the future. 

11.  INDIVIDUAL GROUNDS CARE OFFER FROM J&J LANDSCAPE MANAGEMENT, APPLY AS SOON AS POSSIBLE.  Our grounds care contractor is again offering residences in our community the ability to have your private yards maintained.  The care options include turf care, lawn care, and leaf removal.  Please refer to the link listed above in the Seasonal Links section, just scroll down the page to the applicable information, or contact myself if you cannot access the information.

12.  GROUNDS CARE REMINDERS.  As a reminder, please keep the following items in mind during the growing season. #1 – keep your vehicle bumpers off the curb during mowing days as the crew cannot mow, edge or trim (as appropriate) when your vehicle is parked on top of the turf. #2 – For those of you who have landscaped up to the sidewalk – you are responsible to keep the sidewalk edge nearest your residence clean if the edger cannot be operated safely. #3 – Keep all items stored inside your fence / or your property for those without rear fences. See the ACC and ECC Rules for additional information.

13.  OWNER ACCOUNT PORTAL.  This is a recurring topic for many of our owners.  Each owner has the ability to access their account through a portal Summit Management offers.  To access the portal, please go to our website and select the ‘Living in PWCA’ tab.  Scroll down the page to the button ‘Vantaca Owner Login’.  If you have not already done so, Vantaca will prompt you to create a login.  Once you login you’ll be able to access your owner information to include the status of your account.  This also provides an avenue to pay any balances due on the account.

14.  OPEN DIRECTOR POSITIONS.  Request your consideration to place your name forward to fill our open Director positions.  We are looking for people who are invested in making a better community for all who reside here.  If you are interested please complete and submit an Application for Candidacy that may be found on our website and is listed above in the links.  The Nominating Committee will reach out to you after you complete that step.  If you have questions I’m also available to speak with you about more specifics.
